This article will show you how to use Drive within Webmail
Drive is cloud storage that you can use to store and share important documents and files with your colleagues or clients.
Please note: Drive is only available with our Professional Email Team (Generation 2 mailboxes) and Microsoft 365 plans.
How do I add an item to Drive?
From your Webmail, select the Drive icon in the toolbar (represented by a cloud).
This will take you to Drive. From here, click New and then choose Upload files from the drop-down menu that appears.
A pop-up window will now appear where you can begin uploading your own files.
If you choose the Local File option, your computer’s file manager will appear, allowing you to select a file from your documents.
If you choose the Note option, you can enter your text into the Editor window that will open. When you’re finished, click Save to complete the process.
How do I edit a Drive file?
Although you won’t be able to edit the content of any files you’ve uploaded to Drive, you can easily edit any notes you’ve created by following these steps.
From your Webmail, select the Drive icon in the toolbar (represented by a cloud).
Find and click on the note you would like to edit. This will be a .txt file.
Once selected, click the Edit option in the toolbar above.
Make the changes to your document and then click the Save button, then Close to complete the process.
For any unique files that you’ve uploaded to your Drive, such as images, videos and Word documents, you can edit them by selecting the file and then clicking the Menu icon from the toolbar. From there, a drop-down menu will appear with a list of options on how you can edit that file.
How do I delete a Drive file?
From your Webmail, select the Drive icon in the toolbar (represented by a cloud).
Next, select the file you wish to remove and then click the Delete icon in the toolbar (represented by the dustbin).
A pop-up window will now appear, asking you to confirm the deletion. Simply click Delete to complete the process.
How do I lock and unlock a Drive file?
Locking a Drive item is useful when you share your storage with other people, as it allows you to stop people making changes to documents you are working on or protect sensitive data.
From your Webmail, select the Drive icon in the toolbar (represented by a cloud).
Next, select the file you wish to lock and then click the Menu icon in the toolbar (represented by the 3 bars).
From there, select Lock from the drop-down menu that appears.
To unlock your file, simply follow the same process – the Lock option will now state Unlock instead.
How do I move a Drive file?
To move a file within Drive, simply drag and drop it from one folder to another.
Doing so allows you to keep your files well organised so that you can always find the item you’re looking for, when you need it.
How do I share a Drive item?
This section will explain how to send a Drive item as a link within Webmail. This will send an email to your desired recipients, including a link that will allow them to view and download the attached item directly from your message.
From your Webmail, select the Drive icon in the toolbar (represented by a cloud).
Next, select the file you wish to share and then click Share in the toolbar.
A drop-down menu will now appear, which will give you a choice between inviting people or creating a sharing link.
Sharing as a link gives you a custom URL for your file that you can copy and paste into an email or anywhere else. You can even set a password and expiry date on this link so that only authorised users can access it.
Select the Drive item you wish to send and click on Send as Link. You can use the Shift and Control buttons on your keyboard to select multiple items, allowing you to send them in bulk, rather than individual emails.
If you wish to share your file via email, select Invite people. This will open a separate panel that lets you add email addresses and a personal message, before sharing with other users.
